How Lever360 Uses QuickBooks Items

In Lever360, your QB Items (also called Products/Services in QuickBooks) drive how revenue syncs to QuickBooks.

👉 Critical: You must set the QB Item on each individual revenue item in Lever360. This selection controls how your financial data posts to QuickBooks.

Once set, the QB Item carries through the entire financial chain when pushed to QuickBooks:

  • Invoice

  • Payment

  • Credit Memo

Each record generated in QuickBooks uses the QB Item selected on the original revenue, ensuring revenue maps correctly to your QuickBooks Chart of Accounts.


How to Set QB Items in Lever360

  1. When creating or editing Revenue, select the correct QuickBooks Item (Product/Service) for each revenue line.

  2. This QB Item selection:

    1. Links your revenue to the appropriate income account in QuickBooks.

    2. Controls how invoices, payments, and credit memos sync and post in QuickBooks.

Important: The QB Item must be set for each individual revenue item. This should not be skipped if integrating with QB.


How to Manage Your Product/Service List in QuickBooks

To update the QB Items available in Lever360, manage your Products/Services directly in QuickBooks:

  1. Log in to QuickBooks.

  2. Go to ⚙️ Settings > Products and Services List

Here, you can:

  • Add New Items:
    Create service or product entries (example: Water, Fire). Be sure to link each to an Income Account.

  • Edit Existing Items:
    Update item names, categories, or linked income accounts as needed.

  • Deactivate Items:
    Mark old or unused items as Inactive to simplify your selection list in Lever360. (Inactive items won’t sync.)

💡 Tip: Keep your QuickBooks list simple and organized by high-level service categories to avoid clutter. Work with your accountant to ensure proper Chart of Accounts linkage.
