Create Estimates / Revenues in Lever360

Track and manage job revenues through manual entries or detailed estimates tied to scope items via multi-items

Track, manage, and recognize job revenue—whether you’re importing it manually or building estimates directly in Lever360.

📌 Overview

The Estimates & Revenues section (within the Billing tab on a job) is where your team tracks revenue, either from estimates built within Lever360 or from third-party systems like Xactimate or Symbility.

This is also what determines the sale amount for your job and provides a financial handoff between production and accounting. Invoices and payments are streamed from the revenue entries created here.

Option 1: Manual Revenue Entry (For External Estimates)

Use this option if your estimate was created outside Lever360 (e.g., in Xactimate) and utilizing Lever360 to capture Revenues to further manage.

To add revenue:

  1. Go to the job > Billing tab.

  2. Click + Add Revenue.

  3. Enter a description (e.g., "EMG").

  4. Set status (e.g., Pending, Contracted).

  5. Optionally enter a source (e.g., "Xactimate").

  6. Add revenue items with:

    • Description

    • Quantity and dollar amounts

    • Taxable option

    • Optional: QuickBooks items (optional, for QB-integrated users)

📎 You can upload attachments (external estimate & supporting docs) to the revenue record.

📘 Revenue status controls whether or not the amount is reflected in your job’s sale amount (e.g., Contracted = active, Archived = excluded).


Option 2: Build Estimate in Lever360 (With Scope Items)

This method lets you scope out detailed estimates directly in the system—by category or room—using multi-line estimates tied to scope items.

To create an internal estimate:

  1. Click + Add Revenue.

  2. Name your estimate (e.g., “EMG Estimate 1”).

  3. Set the status (e.g., Estimating, Contracted).

  4. Add Revenue Items: Choose Multi-Item on the desired revenue items to add full scopes with scope line items:

    • Adding Description: this can be a room name or a general catagory depeding how you like to display the estimate (e.g., General, Kitchen, Bedroom)

  5. Add Line items to the Multi-Item Revenue

    • Access Scope for Revenue/Estimate Item by:

      • New Estimate/Revenue > Select Items

      • Estimate/Revenue Detail > Revenue Item > click on purple tag arrow

    • Adding Scope Line items

      • On scope details, add line items 2 different ways

        • Using already prepared Room Scope from the mobile app or web

        • Or add in scope line items from the "Add Line Items" list

📝 You can mix & match rev item types:

  • Single line items (e.g., Inspection Fee – $250)

  • Multi-items by category or room, where each section has line items, quantities, and rates.


🧾 Estimate PDF & Emailing

Once your estimate is built:

  • Click Generate Estimate to view the PDF.

  • Add or edit Opening/Closing Statements (optional).

  • Click Send Email to send to job contacts.

📎 The estimate will show:

  • All sections with totals per category or room

  • Line items and quantities

  • Opening/closing statements if added


💡 Status Management

You can set each revenue or estimate to one of the following statuses:

Status

What It Means

Estimating

In progress of drafting, not finalized

Pending

Submitted or under review, pending next steps

Contracted

Approved and recognized as the sale amount, ready for invoice

Archived

Used for historical reference incase of major estimate revision

Lost

A lost revenue that the scope of work will not be performed

🧠 Status does not trigger automation—it’s informational only and building organizational processes.

The Estimates & Revenues table is the financial foundation of each job.
Use it to:

  • Track all expected revenue

  • Build and manage estimates

  • Communicate with accounting

  • Launch invoicing and payment workflows
