How to Create and Manage Purchase Orders

Create a purchase order on a job to track subcontractors, materials, permits, and other costs — with a budget, vendor, and line items.

Purchase orders let you track what you’re spending on a job — subcontractors, materials, permits, and anything else. They tie into your job’s cost and profit margin, and can be synced to QuickBooks. This article walks through creating a purchase order on a job.

How to Create a Purchase Order

Step 1 — Open the Job’s Billing Tab

From your Job List, open the job you need a purchase order for and go to the Billing tab. Near the top you’ll see Cost for the job, which feeds your profit margin as purchase orders are paid.

Step 2 — Create the Purchase Order

Scroll to the bottom to the Purchase Orders table and click the blue Create Purchase Order button.

Step 3 — Set the Purchaser

The Purchaser defaults to the person creating the purchase order and can be changed. If the job has a Project Manager or Lead Tech assigned, those can auto-fill here.

Step 4 — Set a Budget

Use the Budget field to set your target spend for this purchase order. Budget from the margin you want: if you’re getting paid $4,000 and want a 50% margin, set the budget to $2,000.

Tip: If the budget is all you know right now, you can save the purchase order with just the budget set and come back to add the vendor and line items once you have pricing from your vendors

Step 5 — Select a Vendor

Choose the Vendor for this purchase order. Only companies added to your vendor list appear here — see the related article on adding a vendor company if the one you need is missing.

Step 6 — Add Notes (Optional)

Use the Notes field for anything that helps you understand the scope and where costs are going — for example “drywall install, labor only, we’re providing material.”

Step 7 — Add Line Items

In the items section, select an Item Name, adjust the description if needed, and set the Quantity and Amount. Add a line for each charge — for example a first draw and a second draw for a subcontractor. You can enter an Invoice Number if you have one, but it’s not required at this stage.

Step 8 — Save

Click Save to create the purchase order. It now appears in the Purchase Orders table on the job’s Billing tab, showing its budget, total amount, and how much has been paid.

Editing a Purchase Order

To make changes, open the purchase order and use its line items. Click Add Item to add a line, or the pencil icon to edit an existing line. Use the back button to return to the Billing page.

What Happens Next
