Overview
Purchase order items are the reusable line items you select when building a purchase order. Each item carries a name, a pre-populated description, and — if you’re integrated with QuickBooks — a linked product/service. This article covers how items appear on a purchase order and how to set up your item list in Company Settings.

Selecting an Item on a Purchase Order
When you build a purchase order, the items section is where you lay out what you’re purchasing. To reach it, open a job, go to the Billing tab, and scroll down to Create Purchase Order.
Step 1 — Select an Item Name
In the items section, choose an Item Name. The item pulls in its preset description, and its linked QB item if you’re integrated with QuickBooks.
Step 2 — Adjust the Details
Edit the description if needed, then enter the Quantity and Amount for the line.
Step 3 — Save
Click Save to add the item to the purchase order.
Setting Up Your Purchase Order Item List
Your item list is managed in Company Settings. Setting up items ahead of time means they’re ready to select — with the right description and QuickBooks mapping — every time you build a purchase order.
Step 1 — Open Company Settings
From the main menu, select the Settings icon, then go to Company Settings.
Step 2 — Open the Editable Lists
Go to Editable Lists, then scroll to the bottom and select Purchase Order Item List.
Step 3 — Add or Edit an Item
Here you can set your item names, and edit any existing item. To add a new one, type the Item Name, select its QB product/service item if you’re integrated with QuickBooks, and type the pre-populated description you want to auto-fill on the purchase order.
Tip: The description you set here auto-fills whenever the item is chosen on a purchase order, but you can still edit it on the individual line |
